User-friendliness reduces the need of support
Travel-X is extremely user-friendly. In fact the system is very similar to Outlook which is a familiar environment to my users. Additionally the system has open tools which, for example, results in my users in the travel - and finance department being able to define there own reports. So all in all, I only get few questions regarding Travel-X. This leaves me more time for other stuff.
Hosting offers many advantages
I had the choice to operate the solution my self or to have it hosted through ZeBon. I chose to let ZeBon be in charge of the operation. Hosting is a good choice for a company like ours where the IT department consists of only me! I always have certainty that we are running on the latest version, the newest technology and that security is top notch (you log on via a secure site with https) without me having to use neither money nor time on it.
And then the hosting-decision ensures me a quiet night of sleep. If for example - against all expectations - a problem should occur with our Travel-X, I know that someone from ZeBon is taking care of it straight away. This provides an additional advantage in the hardware site: Hardware is almost like the Stone Age a few days after it has been purchased. By letting ZeBon host our Travel-X I have elegantly moved that challenge over to them. I can only rejoice the fact that everything is working and that I have more time for other tasks.
Central travel management for all Nordic offices
It all started with that we got Travel-X in our Danish offices. After our positive experiences with the system locally, I am now considering using the system in our Swedish and Norwegian offices in the near future. The system for example supports, as a standard allowance-calculation, driving reimbursement etc. in Scandinavia. It was actually a requirement for our new travel administration solution, that it would be able to be used in several countries, as we have previously spent an unbelievable amount of time handling the many different policies and requirements.
Using the system in our Nordic offices will - seen from a business perspective - make it possible for us to control all travel activity for the whole organization, through only one central Travel-X solution. We expect that it will save us both time and lots of resources, because we can draw on joint resources, through only one central travel administration solution - whether it is travel planning, booking, approval, entering and bookkeeping of vouchers. Seen from an IT perspective, the whole thing makes sense in infrastructure, as the system is based on the net platform. This means that I do not have to install software on individual clients in the country offices since everything is done online. I just need to get the system to match our needs which makes it easy to introduce Travel-X to our Nordic offices.
Proven platform
As an IT manager it is me who gets in trouble at the end of the day, if I approve of a travel administration system that can not handle our amount of data and our growing number of users. So it is not without importance to me that Travel-X is based on the .net platform and Microsoft SQL database. The SQL database ensures a sufficient capacity. And since everything is done online, our Travel-X solution is monitored and controlled centrally. This means that I do not need to spend time running around and to each user's client to change or upgrade the system.
